Turn each student inquiry into a source-backed institutional decision, distinguish original errors from later adjustments and verify any required filing and statement release.
This guide is for bursar offices and information-return teams responsible for the institution's Form 1098-T corrections. It follows a student inquiry through source review, reporting decision and documented release.
The fictional cases use 2026 form instructions checked September 5, 2026. Use the actual original-year rules and filing history for real cases, including inquiries that concern an earlier statement or a newly posted prior-year adjustment.
Capture the student inquiry as an institutional case
Record the student key, calendar year, filer, statement version and exact field in question. Capture the transaction reference or identity issue that prompted the request. A report that the student's expected credit changed does not identify which institutional reporting fact is wrong.
Use the school's approved identity and secure-document process. Route account amounts to the bursar, awards to financial aid and enrollment indicators to the registrar while retaining one case owner. That owner should keep the original request and all decisions together so the student does not receive inconsistent answers from offices reviewing different statement versions.
Retrieve the original statement and calculation
Find the actual released Form 1098-T, its source extract, field calculations and filing and furnishing history. Keep the original files unchanged. Identify whether the alleged defect was present in an unfiled draft, the furnished copy or an IRS-filed return.
Compare the questioned amount with the specific reporting field. The 2026 instructions distinguish qualified payments, scholarships and prior-year adjustments. A student-account balance or out-of-pocket payment subtotal can differ from box 1 without proving an error. Provide the source owner with the original calculation and the specific missing or disputed transaction rather than asking for a new unexplained annual total.
Distinguish original errors from later adjustments
Establish the dates and original reporting year before choosing a correction. A refund omitted from the year in which it should have affected the form is different from a legitimate later adjustment to an amount correctly reported earlier.
The box 4 and box 6 instructions provide current-year fields for specified prior-year tuition and scholarship adjustments. Do not automatically replace the earlier form every time a later refund arrives. Ask the source owner when the event occurred, which payment or award it relates to and whether the original report was correct on its facts. Preserve that reasoning in the case decision.
Work two fictional institutional cases
Fictional Alder College reviews two 2026 cases. In case A, its filed 2026 box 1 shows $8,400, but a verified $600 refund of same-year qualified payments was omitted. In case B, a $400 refund made in 2026 relates to payments correctly reported for 2025. Assume no other facts change.

Case A changes a reported amount by $600. Case B needs the original-year link and current adjustment record; it is not evidence that the 2025 form was originally wrong. The reviewer checks the generated fields and explanation against each distinct fact pattern before approving any filing action.
Select and review the supported reporting action
Use the actual year, error type and original agency state to select the procedure under Publication 1099 and the current electronic channel guidance. A rejected file, an unsubmitted record and an accepted return do not share one universal resend action.
Review the full candidate, including student identity, account reference, changed amounts and unchanged indicators. Confirm that the change does not remove a legitimate scholarship entry or move a transaction to another student. Tie the new action to the prior filing reference when the procedure requires it. Arrange the corresponding student statement work and preserve its actual delivery evidence separately.
Close the case and repair recurring source problems
Give the designated institutional contact a factual resolution: the year and field reviewed, the source explanation, whether the institution changed reporting and where the current statement is available through its approved process. Do not describe a generated PDF as proof that the IRS action has been processed.
Retain the original and revised statements, source evidence, approval and agency and furnishing outcomes. If the issue came from mapping or a missing extract, assess the other affected students and fix the source process. Closing only the complaining student's case can leave the same defect in the rest of the annual population or in the next reporting year's release.

Must the school change box 1 because a student wants a different credit?
Investigate the actual reporting facts. A desired personal tax outcome does not establish an error in the institution's payment, scholarship or enrollment information. Explain the supported calculation and correct verified defects.
Does every later refund require an earlier-form correction?
No automatic conclusion follows. Determine the original year, event date and whether the original statement was correct. The current instructions provide specific prior-year adjustment fields that may address the later event.
Can the school update only the PDF shown in its portal?
Determine whether an IRS filing also needs action and whether the revised statement must be furnished. Keep those obligations and evidence separate from the portal document version so none is assumed complete.
Who should own an inquiry involving both tuition and aid?
Use one institutional case owner to coordinate bursar and financial-aid evidence. Each source office should explain its transactions, while the reporting reviewer approves the final field treatment and release.
What should be retained when the form is unchanged?
Keep the original inquiry, relevant source comparison and the explanation supporting the unchanged amount. Record any unresolved separate issue. A documented no-change decision is more useful than an unsupported closed-ticket label.
